Audiology Australia asked us to help with the bi-annual conference, bringing together 450 leaders in the hearing field for 2 days of talks and workshops at the prestigious RACV Royal Pines Resort on the Gold Coast.
We were engaged by AMGEN to provide AV production for their Osteoporosis workshop, held in the recently renovated Hyatt Regency Sydney.
After handling their previous bi-annual meeting, iNova trusted us to take care of their national forum, which gained widespread media intrest across the country.
Hosting a national event in a remote, regional area always presents challenges. After working together on this conference for 10 years, the AAG took the conference management in house for the first time for this event in Alice Springs.

Audiology Australia asked us to help with the bi-annual conference, bringing together 450 leaders in the hearing field for 2 days of talks and workshops at the prestigious RACV Royal Pines Resort on the Gold Coast.
Being a hearing industry conference, it was imperative that we delivered crystal clear audio in each of the 6 rooms being used for presentations and workshops. We worked with conference sponsor PHONAK to enable delegates using hearing aids to connect independently to the appropriate audio stream in each room.
We also worked with a captioner to display live captions for presentations in the plenary session as well as going out on the event live stream.
Osteoporosis in Profile
Client: AMGEN Australia
Venue: Hyatt Regency Sydney, NSW
We were engaged by AMGEN to provide AV production for their Osteoporosis workshop, held in the recently renovated Hyatt Regency Sydney. The client wished to highlight some of the new features the venue boasted, using the timber panelling as a backdrop and maintaining the picturesque view across Darling Harbour from the windows running the length of the room. We also had the constraint of a very short turnaround time at the end of the conference, to make way for another event coming in that same evening.
This presented a couple of challenges. Keeping the view meant a lot of natural light flooding the room. To overcome this, we used our 13,000 ANSI lumens Hitachi projector for a bright 16' wide screen, easily viewable throughout the room. To keep the new wood panel feature wall open, we had to come up with a solution to hang the event banners. 4M tall truss verticals were used to support the banners, dressed with black socks. In keeping the banner and screen supports on the ground, we were easily able to quickly remove everything from the room at the conclusion of the event.
In addition the the large plenary room which hosted keynote presentations and penel sessions, we also looked after 3 small workshop rooms of the two days of the event. Bax Audio Visual also recorded video and audio from the event, and produced a conference video for the client to have available for further training opportunities.
Client: iNova Pharmaceuticals
Venue: Sofitel Brisbane, Qld.
After handling their previous bi-annual meeting in Adelaide, iNova trusted us to take care of their national forum, which gained widespread media intrest across the country.
The main issue to overcome with this event was access time for bump in. With a dinner event in the Sofitel's Grand Ballroom the previous night meaning a 2am access time to the room, a great deal of planning was required to ensure the complex setup was ready for presentation runthroughs at 7am and doors opening at 8am.
When faced with an overnight bump in as much preparation is done before the gear goes through the front door as possible. Cable looms are made to length, racks and equipment are pre-patched, lighting fixtures pre-addressed and labelled, lighting and audio consoles are pre-programmed. The most important thing however, is a comprehensice breif is produced so each member of our team knows exactly how the system is going together allowing everyone to work together in the most efficeient way possible.
The system for this event included 3 large projection screens, foldback and timer monitors, LCD lectern signage, 7000W of sound distributed evenly across the space, an array of microphone options for presentations, panel discussions and audience Q&A, lighting across the stage and pixel bars washing drapes.

Venue: Alice Springs Convention Centre, Northern Teritory
Hosting a national event in a remote, regional area always presents challenges. After working together on this conference through a PCO for 10 years, the AAG took the conference management in house for the first time for this event in Alice Springs and looked to Bax AV to assist in making the event a success.
A lot of planning is required when taking on an event in a remote regional area. Every fine detail, down to each and every cable and adaptor needs to be accounted for. Doing a run back to the warehouse isn't an option when you are 3,000 Km away from home. At large association conferences like this one with over 150 presenters, presentation management is something that has to be done correctly. Across 5 rooms we setup up a private computer network, allowing presenters to drop off presentations at the registration desk, and have them waiting, ready to go at the appropriate time in the correct conference room.
As well as the main conference at the Alice Springs Convention Centre, we also looked after 3 social functions, the highlight being an outdoor Gala Dinner at the amazing Telegraph Station.
